ICCCI Board Meeting Minutes. 06/30/2017, 7:00-9:00 pm

BOARD MEMBERS PRESENT

AGENDA TOPICS

I. Approval of the agenda


Xianzhong made a motion to approve the agenda and Renhua seconded. Agenda was approved by all members present.


II         2017-2018 Board transition, especially bank account transition


Maggie updated the board about bank balance and account transition. Keyun, Caiqing and Renhua all raised the importance of keeping a list of ICCCI property. Maggie requested a dedicated laptop for Quickbook and external hard drive for accounting purposes. A budget of $2,150 ($2,000 for laptop and $150 for external harddrive) was approved by members present.


The bank account with Huntington Bank was closed on 06/29 with a balance of $53,372.54. A new bank account is scheduled to be opened with Chase Bank on 06/30.


III        Financial report from previous year, including balance of activity groups.


Maggie, Caiqing, Keyun and Renhua went over the list of activity groups and updated the list for the upcoming year. The groups that are no longer active were removed from the list.


It is stressed again that any expenditure over $300 must be approved by the board.


IV       Discussion items

1. Upcoming activities – Arrangements and financial support

a). Fourth of July Parade (07/04)

Renhua has reserved a truck for the parade. Arrangement for the parade (such as dragon assembling, lunch and water) was planned by members present.


b). Indy Chinese Festival (09/23)

Performing programs, dragon dancing and booth setup for the festival will be discussed in a future meeting.


c). Chicago Thanksgiving Parade (11/26)

Lin updated the board through wechat that financial support for the parade has been planned. ICCCI will provide dinner worth of up to $10 for each volunteer for the dinner before parade.


2. Other Upcoming community events

Carmel International Festival and Carmel-Xiangyang Sister City Mooncake Festival will be planned at future meetings.


3. ICCCI website update

A list of local activities that of interest to the local Chinese community will be added. Rate for ads will remain unchanged ($500 minimum for one year). The board will continue to reach out to the local community for tax-exempt donations.


IV       Old business

1). Renhua updated the investment account manager. Renhua and Keyun talked to the current manager, who requested another chance. The request was granted, but the account performance will be closely monitored.


2). Su Yuan, on behalf of the ICCC Choir, requested financial support for the trip to Chicago for performance. The board discussed the extent of support for the trip. The board agreed to grant $1,000 to the choir for their trip to Chicago.


V        New business

The board discussed the feasibility to move Spring Festival Gala to the Palladium to see if it will be more profitable. Various options (e.g., performing with art troupes from China) were discussed at the meeting.


Meeting was adjoined at approximately 08:40 pm.
